Club Crawl

Fall 2026 Club Crawl Registration

Closes on Aug 13, 2026 4:31 pm

This form is only able to be submitted by a leader on behalf of their organization.
You must sign in to submit this form.

Club Crawl brings together a sample of the more than 1,300 recognized student organizations for one unforgettable, festival-style afternoon. This year’s event is strategically scheduled later in the semester to maximize student engagement and give organizations even more momentum heading into the fall.

Club Crawl staff will review all registrations to ensure every group meets the criteria for participation and can contribute to the purpose of this event by promoting active co-curricular student involvement on campus. For registration to be considered complete, BOTH the registration form and payment must be submitted. Once the registration process is complete, your organization will be added to the Club Crawl Approved Orgs List.

Club Crawl is intended to be a fun, welcoming experience for students and organizations. These guidelines exist to keep the event safe, accessible, and enjoyable for everyone. It's your responsibility to communicate the information below to your organization.

Eligibility & Registration

  • Participation is open to organizations that are currently “Recognized” or “Renewing Recognition” with the Department of Student Activities.
  • Departmental organizations should contact MSC Programs regarding registration.
  • Once payment is submitted, refunds are not available.

Arrival & Check-In

  • Orgs must be set up by 12:45 p.m.

Display, Setup & Equipment

  • Tables are provided — no need to bring your own.
  • One organization per table; tables may not be shared.
  • Electrical outlets are not available, so please plan accordingly.
  • Extension cords should not be brought.
  • Materials may not be attached to venue walls.
  • Due to fire code, chairs are not permitted at tables unless needed for a medical or ADA-related accommodation.  To request an accommodation, please email us at clubcrawl@tamu.edu.
  • Please do not move venue property, including furniture, signage or equipment (applies to both indoor and outdoor spaces).

Staffing & Table Etiquette

  • Each table may have up to two representatives at a time.
  • When switching volunteers, please keep transitions brief (about 5 minutes) so the table remains staffed by no more than two people.
  • Audio and music should be kept at a level that allows nearby organizations to comfortably hold conversations.
  • If sound levels become disruptive, staff may ask organizations to lower their volume.

Decorations & Items

  • Balloons are not permitted, indoors or outdoors.
  • Animals are not allowed, including insects or reptiles.
  • Service animals are welcome.
  • Organizations may distribute pre-packaged food or candy.
  • Any other food distribution must follow University Center food guidelines.
  • Selling, buying, or soliciting goods or services is not permitted during Club Crawl.

Outdoor Tables & Weather

  • Pop-up tents must be securely anchored using heavy materials such as cement buckets, cinder blocks, or water barrels (items heavier than a backpack).
  • Please review the University Tent Requirements for information.
  • Tents that are not safely secured may be removed for safety reasons.
  • Tents are not permitted near venue windows or near venue entrances
  • In cases of severe weather that could impact safety, Club Crawl staff and University Center & Special Events may cancel outdoor tables.
  • Affected organizations will be notified as soon as possible.

Event Expectations & Violations

Club Crawl is built on mutual respect and good faith participation. Most issues can be resolved quickly with communication.

  • Minor issues (e.g., volume too loud, extra members near the table, unsecured tent): Staff will provide a verbal reminder and guidance to correct the issue.
  • Continued or uncorrected issues after a reminder may result in a formal violation.
  • Safety-related issues (e.g., fire code concerns, unsecured tents, blocking walkways): Staff may require immediate correction or removal of the item to maintain safety.

Club Crawl staff reserve the right to make final decisions to ensure a safe, fair and welcoming event for all participants.
