MSC CAMAC 50: A Latinx Programming Committee
Positions available: Finance, Student Development, Cultural (2), and Marketing
Due 4/17/2024
Collective responsibilities of each Executive Director:
- Attend weekly executive meetings with the executive team for fall and spring semesters
- Efficiently communicate with the other directors, Vice Chair, Chair, and Advisor via WhatsApp and CAMAC email
- Respond within 48 hours to emails and group chat messages
- Work collaboratively in preparation for general committee meetings by taking turns facilitating the meetings themselves
- In charge of tracking points and attendance at own events
- Expected to check the monthly calendar, CAMAC emails, and agenda notes if meeting is missed
- Attend semesterly retreats, end-of-year banquets, and monthly socials
- Efficiently keep track of individual deadlines
- Wear designated attire at general committee meetings, CAMAC events, and as directed
- Semesterly one-on-ones with Advisor, one at beginning and the end of the semester
- Once a semester one-on-ones with Vice Chair during the middle of the semester (mid-semester evaluation)
- Be available for aiding other executives with tasks
- Be respectful to other execs and other people in or outside the MSC
- Practice open-mindedness and be receptive to feedback
- Exhibit professionalism at all MSC CAMAC and others events
- Monthly organization of locker and inventory supplies or as needed
- Submit program evaluations at a timely manner after event in GetInvolved
- Program proposals and Program Assembly presentations
- Present and answer questions at Culture & Education Program Assembly
- Attend at least one MSC CAMAC designated MSC Tailgate
Position specific responsibilities:
Finance:
- Edit, present, and distribute money for the next fiscal year's budget
- Enforce the use of expense tracking forms and keep digital record of spending
- In charge of ordering polos, nametags, and other MSC CAMAC official merch
- Meet monthly with advisor to discuss monthly budget expenses
- Attend Finance Super PA
- Keep track of current and past member names and points of contact
- Send thank you letters to donors
Marketing:
- Have access to MSC CAMAC's social media including Instagram, Facebook, and Twitter
- Regularly respond to direct messages on social media
- Create social media posts, stories, and reels for MSC CAMAC events
- Attend MSC Marketing Super PA to follow MSC Marketing guidelines
- Meet w/ MSC marketing before event for marketing approval
- Be flexible with marketing changes
- Draft, submit, and edit bulk emails for all MSC CAMAC programs
Cultural Co-directors:
- In charge of coordinating programming events for MSC CAMAC
- In charge of facilitating respectful relationships with other organizations that MSC CAMAC collaborates with
- Collaborate and work with a co-director (2 positions available)
- Communicate with Rudder Tower for booking and/or renting rooms
- Create, edit, and manage the contract process for performers, speakers, and facilitators
- Monthly advisor meetings for risk management and strategic planning
- Programming events:
- Mis Quince
- Dia de Muertos Ofrenda
- Potential events
- 1 main spring event
- CAMAC book club
- Mental health series
Student Development (STUDS)
- In charge of general committee meetings, hosting committee socials, the Mi Casa es su Casa Dinner Series
- Gets to socials 30 minutes before for set-up
- Meet with advisor monthly for card checkout and supply list
- Meet with Finance executive for materials and supplies
- Record and document social, gcm, and Mi Casa attendance
- Is director of the overall member point system
- Provide availability from members/execs for advisor at the beginning of each semester to establish booking of Executive meeting space
- Main communicator in committee group chats via announcements and reminders to general committee
- Assign students to host homes and drivers
- Meet with advisor to ensure that all travel procedure and paperwork is followed and turned-in in advance
- Ongoing contact with hosts and students who will attend/host Mi Casa dinners
